INTRODUCTION and WHAT YOU WILL DO (Job Responsibilities)
  • Process a large volume of transactions (invoices and credits) received via mail or e-mail
  • Maintain accounts payable shared mailbox (responding and filing in a timely manner)
  • Process cash disbursements (payments) on a regular basis to meet payment terms
  • Update key metrics and meet key metrics goals, as established for the position
  • Ensure Procedure to Pay processes are followed
    • Invoices are properly authorized with a Purchase Order or Approved Expense flow
    • Approval signatures are as prescribed in the Delegation of Authority (DOA), when PO is absent
    • Verify GL coding is correct
    • Maintain accurate cash disbursement types (check, credit card, wire, ACH) by vendor
    • Ensure available discounts are taken
    • Maintain AP check positive pay bank exceptions
    • Maintain self-assessed sales and use tax invoices for TN and provide to GL team
  • Maintain Open Receipts Not Vouchered to less than 90 days
  • Review and approve expenses in travel system
  • Accountable for overall health of the supplier relationship as it pertains to payment and reconciling statements of account
  • Work with Accounting Manager – Functional Operations to ensure cash management and forecasting requirements are met
  • Provide expense invoices to Accounting team for month-end accruals
  • Run and save month-end AP Aging, Open Receipts, and other reports for compliance purposes
  • Participate in system updates and improvements
  • Miscellaneous duties as assigned

WHO YOU ARE (Qualifications)
  • Associate degree or equivalent combination of education and experience preferred.
  • Minimum of 5 years accounts payable experience
  • Demonstrated high attention to detail and accuracy.
  • Proficient keyboarding / typing skills, Microsoft Outlook, Microsoft Office (especially Excel)
  • Adaptability to learning new tasks.
  • Must have effective and professional written and oral communication skills
  • Experience with AS400/PRMS platform a plus
  • Experience with system conversion a plus
  • Manufacturing experience a plus
  • Experience in lean environment a plus
